Penrith Performing & Visual Arts | Permanent part-time (22.5 hours) 

Penrith Performing & Visual Arts runs four venues across Western Sydney: The Joan Sutherland Performing Arts Centre, Q Theatre, Lewers: Penrith Regional Gallery and the Penrith Conservatorium of Music. We work out of a suburb that most of Sydney underestimates. That changes every time we open our doors. 

Behind every Studio Q workshop, every Penrith Con lesson and every Joan showcase is a small team making sure it actually happens: the right room booked, the right tutor contracted, the right family kept in the loop. We are looking for a Program Administrator to be part of that team. 

About the role:

This role is shared by two part-time people, working in close partnership so coverage and continuity never depend on one person. Together you will coordinate the day-to-day delivery of Q Theatre’s Studio Q and Access Ensembles, Penrith Conservatorium of Music’s tuition, ensemble and audition programs, and The Joan’s broader public program. You will manage enrolments, contracts and invoicing for teaching artists and tutors, and you will be a first point of contact for the students, families, carers and partners who make these programs work. 

You will report to The Joan Program Manager and work closely with the Q Theatre Manager and Head of Music Education. This is not a role where you wait to be told what is next. You will need to be across the detail: the enrolment record that has gone stale, the contract that has not come back, the showcase that needs a runsheet three weeks out, not three days. Good administration is what lets great programming happen, and we need someone who treats that as real work, not support work. 

About you:

You will ideally have:

  • Experience in arts administration, education administration, program administration or a related field
  • Strong organisational and administrative skills with excellent attention to detail
  • Experience managing enrolments, contracts, invoices and records
  • The ability to coordinate multiple programs, deadlines and stakeholders
  • Excellent written and verbal communication skills
  • A genuine interest in theatre, music, arts and education
  • The ability to work collaboratively across a busy performing arts organisation

If you have a couple of years’ experience in arts or education administration, an eye for detail that borders on obsessive, and a genuine interest in theatre and music education, we would love to hear from you.
