Penrith Performing & Visual Arts brings together The Joan Sutherland Performing Arts Centre, Q Theatre, Lewers: Penrith Regional Gallery and the Penrith Conservatorium: four venues, one purpose, to provide the people of Penrith with world-class arts and culture.
About the role
The Venue Associate is the operational engine of our venue hire program at The Joan. You’ll be the primary point of contact for hirers from their very first enquiry through to the last invoice, scoping events, preparing quotes and managing the hire calendar. It’s a role for someone who thrives on detail, keeps calm when a bump-in runs late, and takes real pride in delivering a smooth, professional experience for everyone who walks through our doors.
Reporting to the Head of Operations and Business Development, you’ll own the full hire lifecycle: enquiry, quote, contract, delivery, reconciliation, and everything in between.
What you’ll do
Venue hire administration and client coordination
- Be the primary point of contact for hire enquiries, from first response to event confirmation.
- Scope events with prospective hirers and prepare accurate quotes.
- Keep the hire calendar accurate and flag conflicts early.
- Coordinate self-contained hire events end to end, including set-up, catering and pack-down.
- Complete post-event reconciliation and invoicing, and hand off for approval.
What you’ll bring
- Demonstrated experience in events coordination, venue hire administration or a comparable role in performing arts, hospitality or events.
- Experience managing bookings end-to-end: quoting, contracting, delivery and reconciliation.
- A calm head under pressure, and the tact to deal with a wide range of people.
- The ability to physically set up events, including lifting tables and chairs.
- Precision, multitasking and a high degree of accuracy, with the ability to maintain confidentiality.
- A Responsible Service of Alcohol certificate (or willingness to acquire one).
- A current Working With Children Check.
- A current First Aid Certificate (or willingness to acquire one).
- Availability to work a regular roster including evenings and weekends.
Nice to haves: a current driver’s licence, experience with event management or CRM systems, and general ICT competency.
